Use your total employment cost if you know it. Otherwise, an approximate hourly cost is fine.

Include salary and employer costs if known.

Use 100% if no useful work can continue; use less if staff have a workaround.

Include lost revenue and recovery costs (optional)

Leave this at £0 if revenue is not directly affected. Gross profit may give a fairer estimate than turnover.

Use less than 100% if delayed sales or work can be recovered later.

For example, emergency support, overtime, travel or replacement equipment.

Include serious disruption as well as a complete outage if appropriate.

How it is calculated

How the estimate works

Lost staff time = people affected × hourly employment cost × outage length × working time lost.

Lost revenue = revenue or gross profit at risk per hour × outage length × share likely to be lost.

Potential yearly cost = estimated cost of one outage × expected incidents per year.

This is a planning estimate, not accounting or insurance advice. Take care not to count the same loss twice if staff costs and lost revenue overlap. Customer impact, contractual penalties, reputational damage and delayed work are not included.
